Proposal: ComCap SMART Program™ Streamlined Management and Automated Risk Technology 1. Overview I am building a proprietary operating system for ComCap Insurance that solves what both traditional agencies and insurtech platforms still do poorly: intake, coverage analysis, data collection, renewals, COIs, and claims handling. The goal is to create a repeatable, branded ComCap SMART Program™ that delivers a concierge-level experience to clients while dramatically reducing manual workload for the agency. This proposal outlines the vision, key components, technology stack, implementation roadmap, and cost ranges for bringing this system to life. 2. The Opportunity Commercial insurance is still largely: Document-heavy and paper-based Slow and reactive Dependent on staff “chasing” clients for information Full of duplicate data entry Poorly automated end-to-end Weak on real-time, proactive communication The SMART Program is designed to remove friction at every stage and deliver a “high-touch insurance concierge experience, powered by automation and AI.” 3. Key Differentiating Components 3.1 ComCap Smart Intake Engine (FNOL-style intake for new quotes) When a prospect requests a quote, instead of emailing applications or sending static PDFs, they are routed through a dynamic smart form that: Adjusts questions based on NAICS / classification and operation type Auto-fills data from external sources (Secretary of State, DOT, FEIN, address lookup, etc.) Suggests relevant lines of coverage based on risk signals Automatically populates a structured application package for carrier submissions Outcome: Structured, underwriter-ready submissions with minimal manual data entry. Very few agencies, if any, are doing this properly at the commercial level. 3.2 AI Coverage Mapping Tool (Signature ComCap product) This tool will: Ingest a client’s contract, lease, or vendor requirement document Extract and highlight required coverages, limits, and endorsements Flag gaps between contractual requirements and current policies Generate a side-by-side comparison of “Required vs. In Place” Suggest endorsements and limit changes to close gaps Deliverables: Client-facing, plain-English summary of gaps and recommendations Underwriter-facing, technical summary for marketing and placement Outcome: A clear, repeatable coverage analysis process that most agents, carriers, and insurtechs either do not offer or do very poorly. 3.3 “No-Chase” Data System (Automated information gathering and updates) Most of an agency’s time is consumed chasing: Payroll and revenue updates Vehicle and driver lists Certificate corrections Claims details Audit information The SMART Program will: Use micro-surveys (1–4 questions) sent via SMS/email Provide one-click confirmations (e.g., “Is revenue still under $1.2M? Yes/No”) Integrate with accounting/payroll platforms (QuickBooks, Gusto, ADP, etc.) Automate renewal data collection Feed all responses directly into the central database Outcome: Up to ~70% reduction in routine follow-up work, while making the agency appear extremely responsive and modern. 3.4 AI Claims Concierge (Proprietary ComCap claims intake and triage) The SMART Program will include a dedicated CCIS Claims Line where: The insured calls one number. An AI-powered voicebot collects FNOL details: Who is calling and their role Policyholder information Date, time, and location LOB involved (Auto, GL, WC, Property, etc.) Narrative of what happened Injuries, police reports, photos, witnesses, etc. The system automatically: Compiles a structured claims package Emails or submits FNOL to the carrier (as appropriate) Notifies the adjuster and the insured Creates internal tasks and sets automated status updates Outcome: One of the fastest and most consistent claims reporting experiences in the industry, with minimal staff intervention. 3.5 CCIS COI Hub (Instant certificates with embedded rules) COIs are one of the biggest service pain points for clients and staff. The COI Hub will provide: A client-facing portal to request and, where allowed, self-issue COIs Rule-based controls on which endorsements/wording can be added Automated validation of insured vs certificate holder details AI review of custom wording requests against carrier restrictions A routing queue for manual review when a request exceeds predefined rules Outcome: Significant reduction (targeting ~50%) in daily COI-related emails and back-and-forth. 3.6 Automated Renewal Timeline (Systematic 90/60/30-day process) Most agencies run renewals: Too late Too manually With repetitive, ad hoc processes SMART will implement: A standardized 90/60/30-day renewal workflow Automated micro-surveys to capture changes in exposure AI summaries of changes for internal use and carrier marketing Automated triggers for remarketing decisions AI-generated renewal proposals for clients, produced in minutes instead of hours Outcome: A scalable renewal process that can handle thousands of accounts without a proportional in...
