Senior AI Automation Architect for Vacation Rental Management

OVERVIEW We are looking for a senior-level AI automation architect to design and implement end-to-end automation across our vacation rental management company. This is not a single-task role. We want someone who can architect systems, connect platforms, and implement AI-driven workflows that reduce manual work across operations, marketing, and accounting. CORE OBJECTIVE Build a scalable, automated operating system for a vacation rental business using AI and modern automation tools. GUEST COMMUNICATION & BOOKINGS - Automate inbound and outbound communication across: - Phone - Email - Text / SMS - Booking platforms - AI-assisted guest responses and routing - Reservation intake and confirmation workflows - Automatic entry of reservation data into internal systems - Sync bookings with accounting systems (QuickBooks Online or other) ACCOUNTING & FINANCIAL AUTOMATION - Automate reservation, payment, and fee entry - Integrate booking data into QuickBooks Online - Reduce manual bookkeeping and reconciliation - Maintain clean, auditable financial records MARKETING & GROWTH AUTOMATION - Outbound marketing automation - Google Analytics setup and optimization - SEO workflows and tracking - Social media scheduling and content automation - Performance tracking and reporting OPERATIONS, MAINTENANCE & SUPPLY CHAIN - Automate maintenance and cleaning task creation - Trigger workflows based on bookings and departures - Coordinate vendors and internal teams - Automate ordering of consumables and supplies - Ensure operational consistency across properties DELIVERABLES - Fully implemented AI-powered workflows - Integrated systems across operations, marketing, and accounting - Documentation and SOPs - Recommendations for tools, platforms, and optimizations REQUIREMENTS - Proven experience architecting AI and automation systems - Strong understanding of business process automation - Experience with APIs, integrations, and workflow platforms - Familiarity with QuickBooks Online - Experience with marketing automation, SEO, and analytics - Ability to think at both strategic and execution levels NICE TO HAVE - Experience with vacation rentals, hospitality, or property management - Experience with CRM, PMS, or booking platforms - Experience with Zapier, Make, Power Automate, or custom automation TO APPLY (REQUIRED) 1) Describe similar end-to-end automation systems you’ve built 2) What tools and platforms you would use for this project 3) How you would phase this implementation Start your reply with: AI AUTOMATION
