We’re a fast-growing coaching and consulting business that relies on booked appointments to drive revenue. We use GoHighLevel as our CRM and automation hub, and we’re looking to implement an AI bot that can seamlessly converse with leads (by text and voice) and book appointments automatically, with zero distinction from a real human.
We’ve seen what tools like TeamFollowUp.ai can do, and we want our own customized, world-class version. You will be responsible for building, training, and launching this system so it works as reliably as a human SDR.
Role: AI Appointment-Setting Bot Specialist
What You’ll Be Responsible For:
✅ Designing, building, and training an AI bot that can book appointments via voice calls and text messaging
✅ Integrating the AI bot with GoHighLevel (including triggers, tags, calendars, confirmations, follow-ups)
✅ Creating conversation flows that are indistinguishable from a real human, natural, friendly, and closing the appointment
✅ Testing, optimizing, and iterating to ensure high conversion and booking performance
✅ Implementing fallback logic, escalation to human team members when needed
✅ Tracking and reporting performance, including booked appointments, conversion rates, and unique outcomes
✅ Providing documentation and training for our internal team
Requirements:
⭐ Proven experience building and deploying AI bots that book appointments (text + voice)
⭐ Experience with GoHighLevel or similar CRM/automation systems
⭐ Strong understanding of AI training, prompting, and conversation design
⭐ Ability to integrate calendar APIs (Google Calendar, Calendly, etc.)
⭐ Excellent communicator and problem solver
⭐ Must be able to create flows that truly feel human, not robotic
Must-Have Before You Apply:
📌 Case studies, results, and proof of previous AI bots you’ve launched that book appointments for a coaching business (ideally coaching/consulting but open to other service models)
📌 Data showing how many appointments were booked, conversion performance, and before/after results
📌 Sample conversation transcripts or demos

💡 Experience with AI voice calling tools like Replicant, VoiceAI, TeamFollowUp, Google Dialogflow, Twilio Autopilot, ElevenLabs voice, GPT-4 + voice frameworks, etc.
💡 Experience optimizing AI for objections, booking resistance, and varied lead intents
💡 Experience building fallback paths to humans
