🧠Key Responsibilities
- Manage and optimize executive calendars, aligning meetings and commitments with business priorities across multiple ventures.
- Oversee inbox workflows using AI-assisted tools—triaging emails, flagging critical communications, and drafting or reviewing high-level correspondence.
- Coordinate all aspects of executive travel, including flights, accommodations, ground transportation, and itineraries.
- Utilize AI tools and meeting recordings to synthesize and distribute key takeaways and action items.
- Act as a liaison between the Managing Partner and internal teams, clients, vendors, and stakeholders.
- Support executives with select personal coordination needs, such as scheduling appointments, managing travel preferences, and handling time-sensitive requests.
- Ensure seamless integration of business and personal schedules, providing comprehensive day-to-day support.
- Coordinate and execute time-sensitive errands, courier drop-offs, or deliveries that support executive productivity and daily priorities.
- Prepare executives for key meetings, engagements, and strategic initiatives.
- Track and manage project timelines, tasks, and follow-ups across departments and ventures.
- Execute confidential assignments, research tasks, and strategic projects with minimal oversight.
- Maintain exceptional standards of professionalism and confidentiality at all times.
🎯 What You Bring
- 7+ years of experience supporting senior executives or business owners in high-performance environments.
- Strong organizational and problem-solving skills with a proactive, solution-oriented mindset.
- Excellent verbal and written communication; confident crafting or responding to high-level messaging.
- Advanced proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Trello, Asana).
- Comfortable using AI productivity tools to increase efficiency while applying sound judgment when human oversight is needed.
- Grace under pressure, emotional intelligence, and the ability to anticipate needs.
- Experience in hospitality, events, or luxury service industries is a strong asset.
- Post-secondary education in Business Administration, Hospitality, or a related field preferred.
