JOB SUMMARY

The Assistant Technical Manager, Fleet is responsible for overseeing the day-to-day operations of the company’s vehicle fleet, ensuring vehicles are properly maintained, available for use, compliant with regulatory requirements, and utilized efficiently.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The Assistant Technical Manager, Fleet is responsible for, but not limited to the following:

FLEET MANAGEMENT AND OPERATIONS

  • Oversee the acquisition, operation, and disposal of fleet vehicles.
  • Ensure the fleet is maintained in good working order, coordinating with maintenance teams or vendors to schedule regular inspections, repairs, and servicing.
  • Track fleet performance and implement strategies to optimize fuel efficiency, vehicle utilization, and overall fleet performance.
  • Manage a team of direct reports to accomplish the requirements of this position.

VEHICLE MAINTENANCE

  • Develop and maintain maintenance schedules to ensure timely servicing of vehicles.
  • Monitor and ensure that vehicles comply with safety, emission, and legal regulations.
  • Maintain records of all maintenance activities and vehicle conditions.

FLEET AND COST MANAGEMENT

  • Manage and track the fleet budget, ensuring cost-effective management of fleet operations.
  • Negotiate with suppliers, service providers, and insurance companies to ensure the best value for services and products related to the fleet.
  • Analyze data and reports to identify cost-saving opportunities.

REGULARTORY COMPLIANCE

  • Ensure compliance with all local, state, and federal regulations concerning vehicle safety, emissions, and licensing.
  • Maintain all necessary documentation related to vehicle registration, insurance, and inspections.

DRIVER MANAGEMENT

  • Oversee the recruitment, training, and performance management of drivers.
  • Implement safety programs and monitor driver behavior to minimize accidents and maintain safe driving standards.
  • Ensure drivers adhere to company policies, road safety standards, and legal driving requirements.

FLEET REPORTING

  • Prepare and present regular reports on fleet performance, maintenance, costs, and efficiency to senior management.
  • Track and report on key performance indicators (KPIs) related to fleet utilization, fuel consumption, and accident rates.

TECHNOLOGY INTEGRATION

  • Implement and manage fleet management software or systems to track and monitor vehicle status, maintenance schedules, and performance metrics.
  • Utilize telematics and GPS technology to track vehicle location and optimize routes.

EDUCATION AND QUALIFICATIONS

  • Bachelor’s degree in business administration, Logistics, Transportation, or a related field is preferred.
  • Certifications in fleet management (e.g., Certified Automotive Fleet Manager - CAFM). [preferred]
  • Proven experience (typically 5+ years) in fleet management or logistics coordination.
  • Experience with telematics and fleet management software.
  • Knowledge of environmental regulations related to fleet operations.

SKILLS AND SPECIFICATIONS

  • Strong organizational, problem-solving, and communication skills.
  • Knowledge of vehicle maintenance, safety regulations, and fleet management software.
  • Familiarity with budgeting, cost management, and financial reporting.
  • Ability to lead and manage a team of drivers and support staff.
  • Ability to multi-task and think critically.
  • Bachelor’s degree in business administration, Logistics, Transportation, or a related field is preferred.

LANGUAGE REQUIREMENTS

  • Ability to speak English clearly, distinctly, and cordially with employees and guests. 
  • Ability to read and write English to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, managers, and co-workers.   

PHYSICAL REQUIREMENTS

  • Must be physically fit. 
  • Ability to work in an outdoor environment. 
  • Previous work experience preferred. 
  • Prolonged periods standing and working outside.                                                                                                            

OTHER REQUIREMENTS

  • Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
  • Work may require employees to work inside and outside with exposure to changing climate and/or operate machinery.
  • May be required to work shifts.
  • May require occasional weekend or after-hours work for urgent fleet needs.
  • The role may involve office work as well as fieldwork to oversee vehicle inspections or operations.
  • Perform other duties as assigned by management.
