The Corporate Administrator will be responsible for all corporate work, assigned tasks, processes and operating within the controls and guidelines related to a portfolio of companies, foundations, partnerships and other structures and ensure that client and corporate files are in order as per registry and regulatory requirements. Provide administrative support to the operation of Investment Funds accepting and securing cash and checks, sharing subscriptions and preparing files.


  • Experience incorporating and registering companies with the Companies Registry Dept
  • Prepare resolutions & minutes of the meeting; Good written and typing skills
  • Incorporate, register and administer domestic & foreign companies, IBCs, foundations and other structures with the Registrar General Department. Use and navigate the registry online system for optimal results.
  • Prepare, maintain and provide minutes and resolutions and perform all company administrative duties.
  • Maintain all post-incorporation work, including minutes, notices, share transfers, share certificates and registered offices.
  • Maintain records for Family Office and coordinate -Trust and Asset holding companies
  • Coordinate/organize activities with affiliated and associated Companies in the Group.
  • Prepare annual filings and submit payments to Registrar General Department.
  • Input and maintain information in the company database, electronic and paper files
  • Ensure all records and files comply with the laws of the Bahamas, licenses, corporate governance and KYC requirements
  • Organizing board meetings, preparing board packs, attending the board meetings, and drafting minutes. Coordinate Board of Directors and AGM meetings.
  • Liaise with Compliance and Legal Officer to coordinate corporate services matters
  • Adhere to Investar’s policies, compliance and procedures, as well as KYC and AML requirements. Assist in resolving conflicts & discrepancies.
  • Issue Invoices and pursue collection of fees and out-of-pocket costs, and process remittances.
  • Track additional services for extra billing and provide justification for the same
  • Fill in application forms and open accounts with institutions (Banks, Custodian, Brokers), including liaison and follow-up and monitoring operations of the account.
  • Apply to Inland Revenue and other Government agencies for licenses
  • For Investment Funds, accept completed subscription forms, KYC and payments; ensure that shareholder subscriptions and files are accurate;


  • Minimum of three (3) years of experience in Corporate Services
  • Excellent typing and organization skills
  • Excellent oral and written communication skills
  • Extensive knowledge of Microsoft Office
  • Time management skills; be able to work without supervision
  • Projecting professional appearance and speaking voice is a must, consistent communication with corporate clients.
