The Office Administrator is responsible for delivering world class guest, office administrative and office management services and provided day-to-day support to the Director of Island Operations and General Manager, at Perfect Day CocoCay. 

Essential Duties & Responsibilities:

• Complete, submit and process work permit forms for Vendors, contractors and RCCL executives.

• Communicate and forward completed work permit to individual and scheduler before they embark on travel itinerary

• Maintain Work permit log for Vendors, contractors and RCCL executives.

• Responsible for following up and communicating to DIO in a timely manner any cause or challenge that may result in delays.

• Coordinate local (Great Harbour Cay) ground and sea transport with our local taxi vendors, maintaining a log of authorized travel.

• Coordinate and communicate to Guest Service Manager any CocoCay tram service required for incoming/ outgoing water taxi

• Communicate and coordinate with Scheduler and/or Port agent any flight or hotel reservations needed and ensure this is communicated to traveler before they embark on travel itinerary

• Looks for opportunities to improve procedures and practices and develops positive changes to enhance efficiency.

• Recording, filing & updating of files and filing system

• Attends all meetings or departments reporting to DIO as required by DIO, to record and maintain minutes of meetings, roll call, managers meetings and safety meetings. Electronically record and disburse meeting minutes

• Ensure sufficient, current, correct and relevant forms are available for employees, management, etc.

• Create new forms and documents as required and designed by management

• Monitor and update Vendor files

• Distribute and collect memos to staff and management as directed by DIO or reports

• Prepare variety of reports and letters, utilizing personal computer system and equipment, to include but not limited to schedules, vacation records for managers, Data (ex. uniform sizes, uniform log of issuance, etc.)

• Maintain, monitor and order office supplies and inventory. Utilization of Crunch Time

• Management of Cleanliness and supplies

• Coffee station in Island Boss office; ensuring supplies are stocked (coffee, creamer, sugar, water, paper towel, garbage separation is occurring, and area is kept clean

• Maintaining employee manifest for operations

Qualifications:

• High School Diploma

• Minimum 1-2 years administrative experience ideally in an international company

• Excellent communication and influencing skills across different geographical locations and cultures

• Have strong commercial and business acumen

• Proven planning, attention to detail and project management skills

• Highly organized with ability to manage multiple priorities and consistently meet deadlines

• Ability to work in a high-pressure environment

• Strong administrative skills and working knowledge of computers, internet access and the ability to navigate within a variety of software packages such as Excel, Word, AMOS and other related programs

• Good communication/social skills.

• Ability to plan projects, assign priorities, resolve problems and to work without supervision.

• Excellent English reading and writing skills required. All employees must be able to communicate in the English language in order to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, supervisors, and co-workers
