Job Purpose: Responsible for supporting department staff by providing administrative, clerical and customer support and managing the distribution of information within the department. Key Responsibilities: Manage the Commercial Director’s agenda including the agenda for the department managers Prepare and send out daily reports with information extracted from the in-house systems. Liaise with commercial team on behalf of the Commercial Director. Assist the Commercial Director in managing relationship with my Key Customers. Assist the Commercial Director with all written communications. Answer telephone calls and assist customers with complaints and other inquiries. Prepare Purchase Orders for the department. Reconcile Purchase Orders billing and statements. Processing of all payments. Prepare minutes and agenda for commercial department meetings and follow-up on actions to completion Open and distribute mail, e-mail and fax correspondence. Maintain accurate filing system for the department. Schedule, coordinate, set-up and organize department meetings including booking meeting space. Organize training seminars and workshops. Maintain staff attendance and absentee report and submit to HR weekly. Maintain vacation schedules for the department and submit for payroll deadline. Schedule and coordinate interviews, events and other activities. Maintain department bulletin board with relevant and updated marketing information. Make travel arrangements for the Commercial Director and Department team and manage the travel expenses and recap for the team. Qualifications Associates or Bachelors Degree in Business Administration Microsoft Office Applications, Certified Administrative Professional/ Organizational Management (CAP) Competencies 3+ years of experience in administrative role or related Demonstrated ability to multitask, plan and organize activities in a highly efficient manner Keen analytical skills and attention to details Expert proficiency in Microsoft Excel Excellent written and oral communication skills.
